This automation lets you take any audio or video file and transform it into multiple formats — blog posts, newsletters, LinkedIn updates, or Twitter posts — automatically. What used to require manual effort (or even hiring staff) can now be streamlined with one smart workflow.

By the end, you’ll have a system that takes raw content and repurposes it instantly, saving you hours each week.

Step 1: Set Up Your Trigger with Google Drive

The first step is setting up a trigger that kicks off the workflow whenever you add a new file.

  • Platform: Use Zapier to build the automation.
  • App: Choose Google Drive as the trigger app.
  • Event: Select New File in Folder.
  • Configuration:
    • Create a dedicated Google Drive folder for repurposing content.
    • Point Zapier to this folder so the automation only triggers for relevant files.
    • Test this step to confirm Zapier is picking up the right folder.

Step 2: Transcribe Content with OpenAI Whisper

Next, convert your audio or video into text using OpenAI’s transcription model.

  • App: Select OpenAI.
  • Event: Choose Create Transcription.
  • Configuration:
    • Connect your OpenAI account to Zapier using your API key.
    • Use the file pulled from the Google Drive trigger.
    • Leave Prompt and Language blank if the audio is in English, or specify them for other languages.
    • Test this step to make sure you get a usable transcript.

Step 3: Repurpose the Transcript with AI

Now you’ll transform the transcript into different formats using an AI model.

  • App: Use Claude or ChatGPT.
  • Event: Select Send Message.
  • Configuration:
    • User Message = the transcript text from Step 2.
    • System Message = your repurposing prompt. Example: “Turn this transcription into a LinkedIn post in a professional but conversational tone.”
    • The prompt is fully customisable: blog post, newsletter, Twitter thread, LinkedIn carousel, and more.
    • Test this step to check the AI produces content in your desired style.

Step 4: Deliver the Repurposed Content

Decide where your AI-generated content should go.

  • App: Options include Google Docs, Notion, Slack, or your email software.
  • Event: Pick an appropriate action like Create Document, Append to Document, or Send Message.
  • Configuration:
    • Title: Use the title of your original video or file.
    • Content: Use the AI output from Step 3.
    • Test to ensure the content appears in your chosen destination.

Step 5: Refine Output Formatting (Optional)

To polish your results, you may need formatting adjustments.

  • Prompt Refinement: Add clear instructions to your AI prompt (e.g., “Output only the tutorial, no system messages”).
  • Formatter by Zapier:
    • Insert a Formatter step between the AI and output destination.
    • Use it for headers, styling, or RegEx-based text cleanup.
    • If unsure, ask ChatGPT to generate formatting rules tailored to your document type (e.g., Google Docs).
  • Test the full workflow after formatting changes to ensure everything runs smoothly.
