Setting Up an AI Inbox Manager

Building an AI-assisted inbox system can streamline responses and drastically reduce time spent on repetitive tasks.

This playbook outlines how to centralize mailboxes, leverage AI, and use templating tools to cut response times from 5–15 minutes per email to about 30 seconds. The process centers on the tool Missive, though alternatives can also be considered.

1. Implement a Centralized Communication Tool

The recommended tool for this process is Missive.

  • Centralize Mailboxes: Connect multiple addresses (e.g., info@support@hello@) into one shared system.
  • Route Email: All incoming mail is funneled into a central inbox.
  • Maintain Identity: Replies are sent from the original address that received the email, preserving professionalism and consistency.
  • Usage: This setup covers customer support, project management queries, and outbound responses.

2. Hire a Dedicated Inbox Manager

Even with AI, a human operator is essential.

  • Role: Hire one assistant or executive to manage all incoming and outgoing communications, except those specifically for the agency principal.

Combining AI with prebuilt templates accelerates communication.

  • Trial Period: Have your assistant manually reply to emails for three to four days.
  • Compile Templates: Collect the most common responses into templates (Snippets) and upload them to Missive.
  • AI Enhancement: The AI scans each incoming message, matches it to a relevant template, adjusts placeholders (like names), and tailors the response to the specific query.

7. Respond Using AI Context

Once the system is active, replies become nearly instantaneous.

  • Generate Reply: Use the Reply with context button (or shortcut: Control + R).
  • Review and Send: The AI drafts a response that incorporates context from previous conversations. In most cases, the assistant only needs to press send and close.
