What You’ll Need
- A Google Workspace account with Gemini for Workspace or Gemini Enterprise enabled
- The latest version of Gmail (web)
- The Gemini side panel (look for the ✨ icon on the right side of your inbox)
- Permission to use Gemini features inside Workspace (check with your admin if disabled)
Step 1 — Open Gmail and Locate the Gemini Panel
- Open mail.google.com and sign in with your Workspace account.
- On the right-hand side panel, click the Gemini sparkle icon (✨).
- The Ask Gemini panel opens with a text box that reads “Ask Gemini about this email.”

Step 2 — Summarize an Email Thread
- Open any long conversation in Gmail.
- In the side panel, click “Summarize this conversation.”
- Gemini instantly displays a short digest including:

You can refine the summary by prompting: “Summarize only the latest client messages,” or “List the next steps I need to take.”
The summary stays private — Gemini only processes the content you can already access under your Workspace account.
Step 3 — Draft a Reply (Instantly)
After reviewing the summary:
- Click “Help me reply” in the same Gemini panel.
- Gemini generates a draft based on the conversation context and tone of previous replies.
- Review the draft, then click “Insert” to add it directly into your compose window.
- Edit or personalize as needed before sending.
You can guide the tone by adding quick instructions like: “Make it more concise,” or “Reply in a warm, professional tone.”

Step 4 — Refine or Regenerate the Draft
Need to adjust the message?
- Use the Regenerate button for alternative versions.
- Highlight sentences and choose “Refine → Formal / Friendly / Concise.”
- Ask follow-up questions in the Gemini panel, e.g.:“Summarize the last three messages and propose a short reply accepting the meeting invite.”
Gemini can summarize again before drafting, ensuring your response is grounded in the latest context.
Step 5 — Summarize Multiple Threads (Optional)
From your inbox list view:
- Select multiple emails.
- Open the Gemini panel.
- Ask:“Summarize the main updates from these conversations.”
Gemini will create a bulleted digest — perfect for client recaps or daily briefings.
Step 6 — Stay in Control
Remember:
- Gemini suggests, you decide — every draft appears as editable text in Gmail.
- No messages are sent automatically.
- Gemini never changes thread content unless you click Insert.
All data handling follows your Workspace organization’s security and compliance policies.
